WorkOrder TS User Management/Permission Guide

Last Updated: 2009-05-27
This guide will explain the different security rights you can grant your users.
All users have the basic right to create new customers, new tickets and to save information to tickets and customers. All additional management rights must be explicitly granted. As of version 0.5.1, WorkOrder TS supports the following User settings:

  • User Name - This is a case insensitive string, max length 255 characters
  • Tech Password - This is a case sEnSitiVE string, max length 255 characters, stored as md5 hash in database
  • Tech Skills - This field takes a string which will be displayed when creating a ticket IF the "E-Mail Options" is enabled
  • Tech E-Mail - This field takes a string which must be a valid E-Mail address. This address is used to inform technicians that a new ticket has been added IF the "E-Mail Options" is enabled
  • User Last IP - This field will display the IP address and Date of a users last activity until his/her session expires.
  • User's Shop - This dropdown menu will allow you to assign a technician to a store if you have a multi store license.
  • User Active - This box has to be checked to allow users to login, uncheck and the user account is disabled. If unchecked, the user account will also not appear in drop-down menus anymore
  • System User - If checked, other users will not be able to see the username in drop-down menus. A system user account is required to update WorkOrder TS, no other account can be used!

User Rights
  • Control Users - If checked, a user is allowed to add, delete or modify other user accounts
  • Edit/Delete Tickets - If checked, a user may Edit or Delete Tickets via the Control Panel
  • Backup Database - If checked, a user may create backups of the WorkOrder TS database
  • Restore Database - If checked, a user may restore backups previously made
  • Configure WorkOrder TS - If checked, a user may configure WorkOrder TS settings via the Control Panel
  • Skip Assigned Ticket Checks - If checked, a user is not affected by the "Limit Technician Ticket Access" option set in the Control Panel
  • Skip Update Ticket Delay Checks - If checked, a user is not affected by the "Update Ticket Delay" and can edit, reassign, change service types without leaving a trace on the ticket. The changes can be made by clicking on "Edit Ticket" when viewing a ticket.
  • Manage Downloads - If checked, a user can add or remove downloads and create or remove download categories in the "Company Downloader"

Notes:
  • Creating a new user requires that a valid username and password is given. If you want the user to be able to login you also need to check the "User Active" box
  • Users already in the system can be modified by any user with the "Control Users" right
  • Granting User rights is not required for regular technicians, all options give additional rights. All accounts come with the right to create new customers, new tickets and save information to tickets and customers
